1. All applications and submissions must be emailed to hemanta.kalpana.journalism.award@gmail.com
2. Each entry must have been published or broadcast between 1^st May 2010 and 1^st May 2011  (both dates inclusive).
3. All entries will be acknowledged by e-mail. All inquiries should be emailed to kasturidasgupta@hotmail.com
4. ONLY Standard completed application with all materials ,mandatory attachments and additional information / attachment will be accepted.

1. The Primary Materials to be attached are:

• Print – Please send scans or links to news or feature stories.
• Television & Radio – We prefer digital copies of television and audio segments, be they video files (.mov, .avi, .mpeg, .mp4), links to video hosting services such as Vimeo or Youtube, .mp3s, links to podcasts, etc. Files less than 5MB can be emailed to hemanta.kalpana.journalism.award@gmail.com. Larger files can be uploaded via FTP - please contact us for information on how to do so. Please include a script as well, if possible. If you prefer to send hard copies on CD's or DVD's, please courier post them to:

2. The Mandatory Attachments are

• A scanned sponsoring letter of nomination in the official letter-head of the organisation, signed by a person senior to the Applicant, employed by the same organisation.
  
• In case of Freelancers and Documentary Film Makers, self sponsoring letter of nomination and two reference letters have to be enclosed.
• Photo pasted to the entry form.
• A Brief Biography of the Applicant

3. The additional information / attachments are

• Any additional information that the applicant would like to submit
• Any significant challenge to the veracity, accuracy, fairness, or authenticity or objection to significant omission of an entry such as published letters, corrections, clarifications, retractions, should be included.

5. The entry form and enclosures if incomplete, will automatically invalidate the entry and disqualify the Applicant
6. There will be no entry fee for submission of an entry.
7. The Award is open to all journalists and shall include Editors, Reporters, Freelancers, Photographers, Cartoonists and Documentary Film Makers.
8. The entry submitted must be from a media house, wire service, and syndicate or news organization; television or radio channel - broadcast or published by the organization.
9. The entry must disclose if the article/program is a subject of legal challenge/proceedings. The Judge(s) and/or The Hemanta-Kalpana Memorial Trust, may require the Applicant to furnish additional information/explanation in such case.
10. Only one entry by the same writer/journalist may be submitted.
11. Only one entry by a newspaper, magazine, wire service, syndicate or news organisation may be submitted.
12. An English translation must be supplied for an entry in any Indian language.
13. The Applicants will be deemed to have read and understood the rules and regulations when they e-mail the entry form.
14. The decision of the Judge (s) appointed by The Hemanta-Kalpana Memorial Trust and forming the Jury/Prize Board shall be final and binding. No correspondence of whatsoever nature will be entertained by The Hemanta-Kalpana Memorial Trust in this regard.
15. The Hemanta-Kalpana Memorial Trust shall have full right and license to announce the prize winners of the Hemanta-Kalpana Journalism Award for Excellence in Investigative Journalism on North East India 2010-2011.
16. The date of publication of the results and the place for distribution of the prizes will be at the sole discretion of The Hemanta-Kalpana Memorial Trust.
17. The Hemanta-Kalpana Memorial Trust may  upload  the content of the material and/or biography sketch with /without the photograph and with / without the name of the organisation, which have been submitted, to the official website of the Hemanta-Kalpana Memorial Trust.
18. The Hemanta-Kalpana Memorial Trust reserves the right to suspend, cancel, or modify the rules and regulations for these Awards at any time and without prior notice.
19. No claim of whatsoever nature shall be entertained if the winner(s) fail to collect the Prize at the Awards ceremony and/or venue specified by The Hemanta-Kalpana Memorial Trust.
20. The Courts of Shillong will be the jurisdiction.
